MaxAssist® New Patient Messaging

In a few easy steps, you can now create and send custom email and SMS messages welcoming patients to your practice. Here's how..

Navigate to your MaxAssist® Dashboard from your Toolbar (Settings and Support-> Practice Management->View Dashboard Reports) or click here to login directly. Note: Only practice administrators have access to the MaxAssist® Dashboards.


From the left side menu on the Dashboard, select Patient Messages under the Settings menu:

Here, you’ll see all of your Appointment and Recall Messages settings including the New Patient Welcome message option. To activate a message, simply place checkmarks in the toggle boxes under the Email and/or Text Columns:

To customize the New Patient Welcome messages, simply click on them and the previews will open. You can then select the Edit Wording buttons for the Text and Email versions of the message and add custom verbiage to these messages:

Please note that the New Patient Welcome Text messages do not display appointment times but instead contain a link….


..to view the email version of the message in a browser.

****Important Notes****

In order for a patient to be considered NEW, all of the following criteria must be met.

  • The patient has an appointment scheduled within 30 days of the patient’s file being created (the appointment date doesn’t have to be within the 30-day mark, it just has to be added to the scheduler within that time frame).

  • The appointment day is after the current day. This excludes the same day or past appointments.

  • The patient has not previously been sent a New Patient message.

  • The patient has no transaction history.

  • The patient is created after the practice go-live date with MaxAssist®.

New Patient Message Grouping

If a patient has multiple appointments on the same day, only the first appointment time would be displayed in the New Patient message.

For New Patient Family messages (multiple new patients with first appointments booked on the same day with the same Email/cell number), the first appointment time for each family member will be shown.

****Remember - the Text message versions of these messages contain a link for the patient to view the Email version of the message in a browser.
