Setting Follow Ups in MaxAssist®
Follow Ups are a great way for clinics to manage all sorts of tasks. Any time sensitive activities such as remembering to follow up on an insurance claim submission, or making collection calls, can be easily managed using the Follow Up feature in the Toolbar.
Setting a Follow Up for a patient is easy and only takes a few clicks! Once you have the patient open in the MaxAssist® Toolbar, click on the Patient Follow Up icon under their name:
Then, click the Schedule a Follow Up button which will open the Follow Up dialog box:
Next, enter the date the Follow Up needs to be actioned on:
The next step will be to select a reason for the Follow Up, and enter any additional notes pertaining to the Follow Up:
The last step is to select the User who should action the follow up. By default, it will be set to yourself, but you can assign it to another user if needed. This is super useful if the Follow Up must be actioned on a day when you are not at work:
Once you have entered all of the relevant information for the Follow Up, the last step will be to click the Submit button:
Once submitted, the Follow Up will be visible under the Patient Follow Up icon where you have quick access to edit or delete the Follow Up:
The patient will also be placed on the Follow Up List in the MaxAssist® Toolbar. The Follow Up List is located in the Messaging / Follow Up icon:
As the Follow Ups reach or exceed the due date you set for them, we’ll let you know by highlighting the Messaging / Follow Up icon with a red counter to let you know there are items that require your attention:
The Follow Up List offers smart filtering to make managing Follow Ups a breeze! You can filter by Follow Up Reason, choose to hide any Follow Ups not yet due by selecting to Hide Future Follow Ups and select which user’s Follow Ups you want to see:
MaxAssist® Follow Ups are intelligent! If you choose to schedule a Follow Up for a Reason of “Schedule a hygiene appointment” or “Schedule a recall appointment” our system will prevent that patient from showing on the Due/Late lists in the Toolbar. This also prevents our system from sending any Due/Late messaging to that patient. By setting the Follow Up for one of those Reasons, you’ve indicated you want to be in complete control of contacting this patient to book their next hygiene/recall appointment. Our automated system will take a “back seat” until the Follow Up is completed, deleted, or 6 months have passed since the date set for the Follow Up.
